Schemes / Promotion ​

Schemes / Promotions can be accessed through the setup menu in our application. Here users can create Schemes / Promotions according to their requirements.
Schemes

Currently, we are providing 6 different types of schemes which are;

  • Discount Invoice Scheme
    This Scheme / Promotion discount will be applied to the invoice amount.
  • Bonus Invoice Scheme
    This scheme will give a bonus product on a specific amount set in the Scheme / Promotion.
  • Discount Product Scheme
    This Scheme / Promotion discount will be applied to product quantity.
  • Bonus product Scheme
    This scheme will give a bonus product on a specific product quantity set in the Scheme / Promotion.
  • Discount Product Category Scheme
    This scheme will be applied to the product category.
  • Bonus Product Category Scheme
    This scheme will give a bonus product in the product category.

SMTP Settings

Default splendid accounts mail settings are proceeded for sending emails from Sale Quotation, invoices but if you want to use your email address, you can set it at SMTP settings under company settings. Email address settings for outgoing emails can be set in the SMTP tab under company settings. If you allow your email address to send emails you to provide the following fields to work smoothly.
SMTP Settings
From Display Name: This is the display name for the email address you have chosen from which emails will send.

From Email Address: The email address is used to send emails from.

Reply to Email Address: The email address from which all the replies will be made.

Host: Choose the hostname correctly.

Port: Select the port number accordingly.

Enable SSL: If you want to enable SSL, check the checkbox

SMTP UserName: Enter the email address having the same host.

SMTP Password: Enter the password of the email entered in SMTP Username.

API Keys

You can generate API Keys in Splendid accounts.

Brand List

You can add brands against a product under product details but before that, you have to add multiple brands in splendid accounts.

You can add a brand in our system by visiting the setup menu and the select brand under the categories column.

Edit Brands

You can edit the brand name by going to the brand list and select the desired brand.

Delete Brands

If the brand is not associated with any transactions in the system then the brand can be deleted from the system.

Print via PDF or Excel sheet

Once the brand list has been added into the system, you can print the list of all the brands via PDF or Excel Sheet.

Customer Refunds

Record a Refund

 

  1. In the Sales menu, select customer refund
  2. Click “+Add Customer Refund”
  3. Enter the name of the customer. If you use multi-currency, you can enter your refund amount in the currency of the customer.
  4. If the customer is not existing in the system you can directly add the customer right from the current screen by just writing the customer name and click enter, a form will be open for an additional customer you can save it and make a further transaction.
  5. Select Payment mode and appropriate fields depend on the payment mode. Enter the amount of the payment.
  6. Click “Save and Continue Edit” to save the payment as a draft, or click “Save and Approve” to approve or click “Save and Pending” to mark the payment as pending and enter a new payment or click “Save and New” to record a new payment and save the previous one or click “Save and Close” to close the payment and save the payment in draft status.

Record a Refund
Header Fields:

  • Customer: Enter the name of the customer you would like to pay a refund to. If you enter a name that’s not already a contact, Splendid Account adds it to your Customer list.
  • Date: This is set as default to the current date. You can change this also.
  • Number: Use Splendid Accounts default numbering sequence or you can add your number sequence by clicking on number code and then a “+ “sign
  • Reference: Choose a reference to suit your company. Later, you may want to search for your payment using your chosen reference.
  • Master Group: This field appears only if you have enabled Groups. Groups let you customize the refund in many ways.
  • Currency: If you have a Business Edition plan with multi-currency, you can select a foreign currency customer that you’ve already added, you can edit the exchange rate if required. If you entered a default currency customer, it automatically displays.
  • Exchange Rate: This field will display if you select a customer of such currency that is different from your company’s currency so that you have to provide an exchange rate for the particular customer.
  • Order Booker: This field appears only if you have enabled. Let your customer know which order booker will go and collect the payment. You can add multiple order bookers under the Sales Person menu.
  • Sales Man: This field appears only if you have enabled. This will display a list of all the salesmen you have entered into the system.
  • Delivery Person: This field appears only if you have enabled. Select the delivery person of your choice for a particular customer, also you can choose based on areas.

Line Item Fields:

  • Refund mode: Select the payment mode by which you have to refund the amount to your customer. Different payment modes could be selected against a single customer.
  • Accounts: Must be mandatory to select your accounts against payment mode in which account you would receive payment from your customer.
  • Document: Any document number can be mentioned here.
  • Detail Group A: This field appears only if you have enabled Groups. Groups let you customize the refund in many ways.
  • Detail Group B: This field appears only if you have enabled Groups. Groups let you customize the refund in many ways.
  • Amount: Enter the amount you have to receive from your customers. He can either pay the full amount or partial amount accordingly.

Account adjustments

Splendid Accounts has an account adjustment (optional) field in the refund screen to adjust your expenses or enter the Tax repayment expenses.

Settlements

  • In Splendid Accounts, you have an option to settle your receivables against customer payment.
  • Also, you can settle your customer credit/debit note.
  • The default auto settlement of invoice and credit note has been settled against you returned amount entered.
  • Also, you can settle your receivables manually you want to settle against payment entered.
  • Also, you have seen your adjusted amount and Balance amount in settlements.

Edit/Revise the Customer Refund

You can edit the Customer Refund if you want to modify it. You can also revise the approved, allocated, or partially allocated payments by Revise function and get it modified as per your need.

Delete or Void a Customer Refund

Customer Refund transactions can be deleted if not get approved and are in draft or pending status. But if the payment is approved it can only be set as void and the accounting transaction made will be reversed from the system.

Settlements

  • In Splendid Accounts, you have an option to settle your customer’s full or partial refund on a payment if you’ve paid it back to your customer.
  • Also, you can settle your customer debit note, invoices.
  • The default auto settlement of invoice and credit note has been settled against the amount entered.
  • Also, you can settle your receivables manually you want to settle against payment amount entered. you have seen your adjusted amount and Balance amount in settlements.

Add Sales representative of your business in Receive Money

You can choose either salesman, delivery person, or order booker for your payment depending on the settings you made under company settings.

Once you enable the groups and add a list for them, you can select them on a customer refund as well which will help you in reporting also.

Overview

  • Export data list and reports in Microsoft excel from Splendid Accounts keep as a backup, or to access without logging in to Splendid Accounts.
  • Understand the items and file formats you can export and how.

How it works

  • There isn’t a one-step feature to copy all of the company data. However, you can export data from individual areas of Splendid Accounts, and reports from our reports screen.
  • Our security means your company data is backed up and protected online so that it’s always available to access when you log in.
  • You’re responsible for keeping records of data entered in Splendid Accounts, so we recommend you regularly perform your backups in exported files.
  • Your user role determines the data you can export. The admin and owner user role lets you run and export all reports.

Giving people access to Others

Splendid accounts are allowing you to share your company with the people working with you with limited access. You can invite them to the appropriate roles they are accomplished. This feature is available under the setup menu in the Users menu listing in the “Lists” column.

Back date Transaction Limit

You can set back date transaction limit for each existing user. It will allow user to make transactions only in those days only.

Multiple User Roles and their rights​

Splendid accounts are having the following 12 different roles having different rights.

  • Store Manager

This user has all the rights to create Sales Delivery and Goods Receiving Note, can add, edit, delete, revise, and approve the transactions, and manages the inventory also.

  • Store Assistant

This user has the limited rights in Sales Delivery and Goods Receiving Note, can add and edit transactions in draft’s mode only and forward it to his manager for approval.

  • Sales Manager

This user has all the rights in the sales section, he can add, edit, delete, revise, and approve all the transactions.

  • Sales Assistant

This user has the limited rights in sales section to add and edit transactions in draft mode only and forward it to his manager for approval. He can view limited reports also.

  • Purchase Manager

This user has all the rights in the purchase section, he can add, edit, delete, revise, and approve all the transactions.

  • Purchase Assistant

This user has the limited rights in the purchase section to add and edit transactions in draft mode only and forward it to his manager for approval. He can view limited reports also.

  • Accounts Manager

This user has all the rights in the accounts section, he can add, edit, delete, revise, and approve all the transactions.

  • Accounts Assistant

This user has the limited rights in accounts section to add and edit transactions in draft mode only and forward it to his manager for approval. He can view limited reports also.

  • Pos Manager

This user has all the rights in POS, can add terminal and record transactions.

  • Pos Assistant

This user has limited rights in the POS section.

  • Report Viewer

This user is only applicable to view the dashboard and reports of the system.

  • Company Admin

This user has all the rights to manage the complete system.

Add a new user to a company

The company you are using can have multiple users depending on the subscription plan you bought. This feature is only available for purchase subscription and not for free trial version. Once you purchased the subscription, under the Users menu, the system is offering you an invite button through which you can send an invite to different people with the appropriate roles and permissions. Note that list listing all the users who can access the company.
